Clinic Manager / Lead Receptionist

Job Summary

We are seeking an experienced, organized, and personable Clinic Manager / Lead Receptionist to join our neighborhood acupuncture clinic in the East Village. This role is ideal for someone who thrives in a fast-paced wellness environment, enjoys building relationships with clients, and can confidently manage daily clinic operations.

As the first point of contact for our patients, you will play a key role in creating a welcoming, calm, and professional experience from start to finish. In addition to front desk responsibilities, you will work closely with the clinic owner to oversee staff operations, assist with hiring and onboarding, and help maintain a supportive and efficient workplace culture.

The ideal candidate is dependable, detail-oriented, proactive, and comfortable balancing both customer service and administrative leadership responsibilities.

Responsibilities

  • Greet and assist patients in a warm and professional manner
  • Manage appointment scheduling, confirmations, and patient communications
  • Handle phone calls, emails, and front desk inquiries
  • Process payments and maintain accurate patient records
  • Coordinate daily clinic flow and support practitioners as needed
  • Ensure that all shifts are properly staffed
  • Hire, onboard, and train new front desk staff in collaboration with the clinic owner
  • Monitor staff performance and help maintain workplace accountability and professionalism
  • Maintain cleanliness, organization, and overall presentation of the clinic
  • Troubleshoot scheduling or customer service issues with professionalism and care
  • Support marketing initiatives and community outreach when needed
Qualifications
  • 2+ years of experience in a medical office, wellness clinic, spa, or healthcare setting preferred
  • Previous management or supervisory experience strongly preferred
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Comfortable working independently and taking initiative
  • Experience with scheduling software and basic administrative systems
  • Calm, professional demeanor in a busy environment
  • Interest in holistic health and wellness is a plus
