Executive Assistant Manager, HQ or Remote

The Executive Assistant Manager will be responsible for managing, coaching, and developing Aledade’s growing Executive Assistant team (5+ direct reports), providing high-level strategic administrative support to the executive team, and ensuring the smooth operation of Aledade’s business operations as a whole. The Executive Assistant Manager will also directly support 1-3 members of the executive leadership team as well as additional administrative and operational activities as needed. This role requires exceptional organizational skills, top notch leadership and people management abilities, and the capacity to seamlessly manage multiple high priority workstreams in a fast-paced environment.

Primary Duties:

    • People leadership and management: Supervise, mentor, and manage a growing team of executive assistants, with a focus on professional development, team culture, and employee engagement and retention. Provide day-to-day support to ensure the team’s operations run smoothly. Provide guidance, delegate tasks, and ensure consistent quality and efficiency in their work.
    • Executive Support: Manage executive schedules, coordinate meetings, and handle travel arrangements. Prepare and review correspondence, reports, and presentations as needed.
    • Communication: Serve as the primary point of contact between the EA team and Aledade’s leadership, and executives and internal/external stakeholders. Screen and prioritize incoming communication and ensure prompt responses.
    • Process Improvement: Develop and implement best practices and standard operating procedures for the executive support team. Identify areas for improvement and streamline processes to enhance productivity.
    • Project Coordination: Assist in the planning and execution of special projects and initiatives in support of Aledade’s Office of the President. Track project milestones and deliverables, and communicate progress to stakeholders.

Minimum Qualfications:

    • Bachelor’s degree in Business Administration, Management, or related field
    • Minimum of 8 years of experience in an executive assistant, Chief of Staff, or administrative management role, with at least 3 years of people management and/or team lead experience
    • Available to work across various time zones and/or non-traditional working hours on occasion, as needed

Preferred Qualifications:

    • Proven leadership and team management skills
    • Experience managing Executive Assistants and/or customer service-oriented roles strongly preferred
    • Excellent verbal and written communication skills
    • Strong organizational and time-management skills; attention to detail and problem-solving skills
    • Strong intuition for exercising discretion and confidentiality
    • Hands on experience with Google Suite preferred
    • Detail-oriented, flexible, proactive, and comfortable working in a fast paced, dynamic organization with constant change
    • Ability to handle multiple priorities and work effectively under pressure.
    • Able to regularly work out of Aledade’s Bethesda, MD headquarters (2-3 days a week)

    • Sitting for prolonged periods of time. Extensive use of computers and keyboard. Occasional walking and lifting may be required.
