Role Overview The Service Writer is the linchpin of the shop. You own each repair order from the moment a vehicle rolls in to the moment we collect on the invoice — diagnosis, estimating, parts, customer communication, technician handoff, invoicing, and follow-up. When the service writing team does its job well, customers stay informed, technicians stay productive, and revenue moves. Communication is the system that runs this shop. You'll be in constant contact with customers, technicians, vendors, and management. Translating shop-floor reality into clear customer expectations — and customer needs into actionable plans for the technicians — is the core of the job.

Key Responsibilities:

  • Greet and support customers from intake to vehicle release
  • Write accurate estimates and prepare repair orders
  • Order, receive, and distribute parts
  • Maintain strong vendor relationships
  • Communicate clearly with customers, technicians, and vendors
  • Schedule appointments and manage workflow
  • Keep customer records and files organized
  • Answer questions about services and pricing
  • Handle customer concerns and follow up as needed
  • Drive shop truck to pickup and return parts
  • Assist with administrative tasks as needed

Preferred Experience:

  • 2+ years in a heavy-duty truck, trailer, or equipment shop environment (service writing, parts counter, or shop coordination)
  • Working knowledge of diesel mechanical systems
  • Comfortable with shop management software — prior experience with ShopMonkey, Mitchell1, Fullbay, or similar is a plus
  • Microsoft Office (Excel, Word, Outlook)
  • High school diploma or GED
  • Valid driver's license
