Medical Administrative Coordinator

<p style="text-align:left">Built on meritocracy, our unique company culture rewards self-starters and those who are committed to doing what is best for our customers.</p><p style="text-align:inherit"></p><p><b>Summary</b></p><p>This is a shared position reporting to the Manager of Bridge Pointe Administration Services 75% of the time and reporting to the Manager of Bridge Pointe Structured Settlements the other 25% of the time.</p><p></p><p>Primary responsibility is providing support activities to the Bridge Pointe Administration team and Structured Settlement teams by providing administrative, operational, and customer service support for fiduciary trust accounts and structured settlements. Prepare and track settlement quotes, premiums, and payment schedules; maintain accurate case management records; and coordinates documentation with carriers and internal teams. Generates regulatory correspondence, reviews legal and financial documents for compliance, supports referral intake and service quoting, and delivers daily customer service to members, providers, and settlement partners.</p><p></p><p></p><p><b>Essential Duties and Functions</b></p><ul><li>Assists with the day-to-day Administration team administering services for accounts held in fiduciary trust by Bridge Pointe as well as follow up on Structured Settlement quotes and accurately inputs this data into the case management system.</li><li><b>While performing Administration Services duties: </b><ul><li>Generate denial letters and prepare for mailing by Document Solutions Team</li><li>Generate Self-Administration annual reminder letters and prepare for mailing by Document Solutions Team</li><li>Generate 90-day letters and prepare for mailing by Document Solutions Team</li></ul></li><li>Review and process returned mail<ul><li>Identify if new member address on file</li><li>Re-generate the letter that was returned and prepare for mailing by Document Solutions Team</li></ul></li><li>Receive and process email and faxes from Document Solutions Team and upload to member’s files</li><li>Respond to claim status emails (need a bit more detail)</li><li>Handle BP information emails/calls in queue</li><li>Assist with Customer Service calls answering member questions about their account or payment for services</li><li>Other Duties as assigned</li><li><b>While performing Structured Settlement Duties:</b><ul><li>Audit Quotes being entered by Operations Support Team</li><li>Track Premium to be sure it is received by the life company timely</li><li>Track first payment dates and ensure they are released timely</li></ul></li><li>Follow up on final settlement documents and other final documents needed for policy creation<ul><li>Create diary follow up task requests for ongoing follow up until policy is received</li></ul></li><li>Submit final documents to the life company and request policy.<ul><li>Create diary follow up task requests for ongoing follow up until policy is received</li></ul></li><li>Distribute annuity policy to all parties <span style="overflow-wrap: break-word; display: inline; text-decoration: inherit; hyphens: auto;">(Carrier/claimant/AA?)</span></li><li>Accurately enter data into case management system</li><li>Other duties as assigned</li><li>Reviews of legal and financial documents for the trust account</li><li>Creates and updates Bridge Pointe letter templates correspondence with beneficiaries, attorneys, carriers and governmental agencies</li><li>Ensures compliance with all governmental regulations and reporting requirements.</li><li>Reviews new referral intake for specifics of service or combination of services requested and ensures that new referrals are entered accurately and completely.</li><li>Provides written quotes for Bridge Pointe services to parties involved in the settlement process.</li><li>Ensures receipt of proper documentation to complete <span style="overflow-wrap: break-word; display: inline; text-decoration: inherit; hyphens: auto;">closure/notices/disbursement</span> provisions for any remaining accounts funds upon account termination.</li><li>Daily Customer Service with medical providers and members either through phone calls or emails</li><li>Any other duties may be assigned.</li></ul><p></p><p><b>Qualifications/ Requirements</b></p><p>Detail‑oriented professional with strong administrative and data management skills. Demonstrates accuracy and efficiency in data entry and typing, with proficiency in Microsoft Office 365 applications. Able to multitask effectively while managing competing priorities and communicates clearly and professionally both verbally and in writing.
