Part-Time Bookkeeper / Operations Assistant

Job Summary

We are seeking a proactive and detail-oriented Part-Time Bookkeeper / Operations Assistant to join our construction team. This is a 1099 independent contractor position based fully in-person at our Raleigh, NC office with potential for full time in the future. Hours will be during business hours with at least 4 days in the office for a total of 20 hours a week.

This role combines hands-on bookkeeping with active operational support across our construction projects. You will manage financial records, coordinate with vendors and subcontractors, handle permitting, and keep our projects organized and on budget — reporting directly to our general contractor and company owner. The ideal candidate brings prior construction industry experience, thrives in a fast-paced environment, and can manage multiple responsibilities with minimal supervision. Anticipated start date is June 1st - mid June.

Responsibilities

Bookkeeping responsibilities

  • Maintain and update financial records using QuickBooks and support the rollout of JobTread
  • Perform bank reconciliations and balance sheet reconciliations to ensure accuracy of financial data
  • Prepare and process journal entries, accounts payable, and accounts receivable transactions
  • Assist with general ledger accounting and ensure compliance with GAAP
  • Organize receipts and invoices; assist with tax filings when needed
  • Generate weekly budget and expense reports for the GC/company owner

Operations responsibilities

  • Check and compare pricing with vendors and subcontractors to support cost control
  • Handle correspondence with clients, subcontractors, vendors, and other stakeholders
  • Keep trade accounts current and in good standing
  • Prepare and submit permit applications across local counties in NC
  • Find, vet, and onboard subcontractors; organize and manage the bidding request process
  • Support data entry, document management, and general administrative tasks

Skills

  • Prior bookkeeping or operations experience in the construction industry
  • Proficiency in QuickBooks (Online)
  • Knowledge of GAAP, double-entry bookkeeping, journal entries, and general ledger reconciliation
  • Experience with bank reconciliations, AP/AR management, and payroll processing
  • Strong written and verbal communication skills; comfortable working with diverse stakeholders
  • Highly organized with strong attention to detail and ability to manage multiple tasks efficiently
  • Flexible and self-directed; able to adapt to shifting priorities with minimal supervision
  • Basic proficiency in 10-key typing for accurate data entry

Preferred qualifications

  • Experience with JobTread or similar construction project management software
  • Familiarity with construction job costing, subcontractor coordination, or project tracking workflows
  • Experience preparing and submitting building permits in NC counties
