Job Overview
We are seeking a dynamic and highly organized Personal Assistant to provide comprehensive administrative support to executive leadership. This role is vital in ensuring smooth daily operations, managing schedules, coordinating projects, and handling a variety of clerical tasks with professionalism and efficiency. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to facilitate seamless office management and personal support.

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries.
  • Handle correspondence via phone, email, and messaging platforms with exemplary phone etiquette and professionalism.
  • Prepare, proofread, and transcribe documents, reports, presentations, and correspondence to ensure accuracy and clarity.
  • Organize files, manage data entry tasks, and maintain meticulous records using filing systems both digitally and physically.
  • Assist with event planning for corporate or personal events by coordinating logistics, vendors, invitations, and materials.
  • Support bookkeeping activities using QuickBooks or similar software for expense tracking and invoicing.
  • Perform general office management duties such as answering multi-line phone systems, front desk reception duties, and overseeing office supply inventory.
  • Facilitate project coordination efforts by tracking deadlines, preparing agendas, taking meeting minutes, and following up on action items.
  • Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint) to produce professional documents and presentations.
  • Conduct proofreading to ensure all communications are polished and error-free; assist with transcription tasks as needed.
  • Support personal errands or tasks for executives that may include scheduling appointments or managing personal calendar commitments.

Experience

  • Proven experience as a Personal Assistant or in an executive administrative support role within a professional office environment.
  • Demonstrated expertise in office management functions including filing systems, data entry, clerical support, and customer service.
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace tools (Gmail, Docs), QuickBooks (or similar accounting software), and DocuSign for electronic signatures.
  • Excellent typing speed combined with strong attention to detail for proofreading and transcription tasks.
  • Experience handling multi-line phone systems with professional phone etiquette; familiarity with front desk operations is a plus.
  • Ability to manage calendars effectively using Microsoft Outlook Calendar or similar scheduling tools while maintaining confidentiality at all times.
  • Knowledge of basic bookkeeping practices along with project coordination skills to support various initiatives seamlessly.
