Pay: $19-22/hr

Job Summary

The Schedule Coordinator– Healthcare focuses on coordinating patient appointments with medical staff, confirming visits, and ensuring patients have access to necessary transportation. This role manages schedules for remote healthcare providers and supports patients through timely communication, reminders, and logistical assistance. The Dispatcher ensures smooth operations, high patient satisfaction, and accurate record-keeping in a fully virtual environment. Strong organizational, communication, and problem-solving skills are essential.

Core Responsibilities

  • Schedule and coordinate patient appointments with medical staff, including preventive visits, screenings, and consultations.

  • Confirm upcoming appointments with patients via phone, email, or text, ensuring understanding of time, location, and preparation requirements.

  • Coordinate transportation for patients when needed, including arranging rides or providing guidance on available services.

  • Monitor schedules in real-time and adjust for cancellations, delays, or conflicts.

  • Maintain accurate digital records of appointments, confirmations, and patient communications in scheduling software.

  • Communicate updates and instructions to both patients and medical staff promptly.

  • Track scheduling metrics, including appointment confirmations, cancellations, and no-show rates.

  • Collaborate with clinical teams, care coordinators, and management to optimize patient flow and service delivery.

  • Ensure compliance with HIPAA and other healthcare privacy regulations.

  • Provide support for scheduling and communication platforms used by staff and patients.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.

  • 1-3 years of experience in healthcare scheduling, patient coordination, or dispatch preferred.

  • Strong organizational, multitasking, and problem-solving skills.

  • Excellent verbal and written communication skills, with empathy for patients.

  • Comfort using scheduling platforms, Microsoft Teams, email, and digital communication tools.

  • Ability to coordinate transportation logistics and provide patient support.

  • Self-motivated, detail-oriented, and able to work independently.

  • No specific licenses required, though prior healthcare experience is highly preferred.

Physical Requirements

  • Ability to work at a computer for extended periods.

  • Ability to communicate clearly via phone, email, or video platforms.
