Clinical Care Coordinator

Anywhere Wellness | 100% Remote – Virtual Office Full-Time | M–F, 8:15 AM – 5:15 PM PST | Permanent, Fixed Hours (Non-Negotiable) working with team "on Kumo " our virtual office platform, aka in our virtual clinic

About the Role

Anywhere Wellness is seeking a warm, highly organized, and communicative Clinical Care Coordinator to be the face of our practice.


You are the first voice patients hear, the first name they see in their inbox, and the person who sets the tone for their entire experience with Anywhere Wellness. The majority of your day will be spent managing a high volume of phones, emails, and faxes — fielding patient inquiries, coordinating with providers, and ensuring nothing falls through the cracks. You are the hub that every moving part of the clinic flows through.

This is a fully remote position within a structured virtual office environment. All team members maintain live camera presence during working hours.


Workspace Requirement:
A private, quiet, distraction-free home office is mandatory. No background noise, children, pets, or other people present during working hours. Non-negotiable per HIPAA.


Key Responsibilities

Front-Line Communication — The Face of the Clinic


  • Manage a high volume of inbound and outbound phone calls, emails, and faxes daily with professionalism and warmth
  • Serve as the primary point of contact for patients — answering questions, addressing concerns, and delivering an exceptional experience at every touchpoint
  • Respond to all communications promptly, reflecting the voice and values of Anywhere Wellness


Patient Intake & Scheduling


  • Build and maintain new and existing client charts with accuracy
  • Coordinate patient scheduling, appointment confirmations, reminders, and follow-ups
  • Manage referral coordination, records releases, and inter-clinic communication with precision


Clinical & Administrative Support


  • Oversee daily clinical services and documentation to keep the practice running efficiently
  • Navigate multiple EHR systems and digital filing platforms simultaneously
  • Maintain organized workflows across all communication channels — email, fax, phone, and internal systems


Quality & Compliance


  • Ensure all patient interactions and documentation adhere to HIPAA, medical protocols, and ethical standards
  • Monitor patient care touchpoints and flag any quality concerns to the clinical team


Team & Executive Support


  • Provide coverage and support to the administrative team throughout the day
  • Provide high-level administrative triage to the CEO/Team Lead as directed
  • Remain accessible and present in the virtual office — ready to pivot at a moment's notice


Qualifications

  • 2–3 years of relevant clinical or healthcare administrative experience (required)
  • Strong phone presence and written communication skills — confident and comfortable as a front-line communicator
  • Warm, empathetic, and professional with strong therapeutic listening ability
  • Detail-oriented with excellent organizational skills and the ability to manage competing priorities
  • Tech-savvy — proficient in EHR/EMR software (Tebra/Simple Practice), Google Workspace, Google Sheets/Docs, Excel, and multi-line phone/fax systems
  • Reliable, punctual, and self-directed in a remote environment
  • Dedicated, HIPAA-compliant home workspace (required)

Schedule

Monday–Friday, 8:15 AM–5:15 PM PST. Fixed and permanent.
