Administrative Assistant

Key Responsibilities:

  • Support daily administrative and operational activities of the company
  • Handle data entry, documentation, filing, and record-keeping
  • Coordinate customer orders, process purchase orders, and update order status
  • Monitor inventory levels and assist in stock control for medical supplies
  • Ensuring good administrative and operational activities of the company
  • Liaise with suppliers, transporters, and logistics partners for delivery arrangements
  • Manage and track 4PL logistics operations, including shipment scheduling and delivery follow-ups
  • Ensure timely and accurate delivery of goods to customers
  • Prepare delivery orders, invoices, and related documentation
  • Monitor invoice payments and track outstanding balances
  • Maintain proper records of accounts receivable and payment status
  • Handle customer inquiries regarding orders, deliveries, and billing matters
  • Resolve delivery or logistics issues in a timely manner
  • Maintain proper records of logistics activities and reporting
  • Assist in ensuring compliance with company procedures and regulatory requirements
  • Perform ad hoc administrative tasks as assigned

Requirements:

  • Diploma or equivalent in Business Administration, Logistics, Supply Chain, or related field
  • Minimum 1–2 years of working experience in administrative or logistics roles (experience in medical supply industry is an advantage)
  • Basic knowledge of 4PL or supply chain operations is preferred
  • Proficient in Microsoft Office (especially Excel)
  • Good organizational and multitasking skills
  • Strong communication and coordination abilities
  • Able to work independently with minimal supervision
