Location: Kuala Lumpur, Malaysia The job The Portal Onboarding Administrator supports the successful registration of AVEVA’s Americas business with client electronic invoice submission/supplier registration portals.

Portal functionality may include and is not limited to tenders, supplier registration, submission of company information/documentation and invoice/payment related documentation and information.

The purpose of this role is to ensure timely completion of portal registration within portals, maintain accurate records regarding registration progress, and to collaborate within internal departments to ensure portal registration and maintenance presents no material impact to AVEVAs sales or finance operations.

This role is offered on a 1-year fixed-term contract , providing a great opportunity to gain valuable experience within a global organization.

Responsibilities

  • Act as the primary owner for all incoming portal registration requests for AVEVAs Americas business.
  • Maintain a documentary record of portal registrations – received, pending action(s) and complete, and ensuring the relevant parties are aware of their required actions to support full compliance with all relevant requirements.
  • Assess portal functionality (tenders, supplier registration, invoice/payment related information), and engage the relevant parties within AVEVA to ensure they’re aware of the portal, it’s functionality and any action required of them to register with and maintain our profile registration, and sales and invoice submission/settlement processes.
  • Ensure timely completion of all portal registrations.
  • Support the maintenance of a SharePoint directory of portals on which AVEVA's Americas business are registered, and any associated documentation to support utilisation of those portals.
  • Maintain an accurate log of portals and associated login information.
  • Escalate all material delays/obstructions to the relevant personnel within AVEVA to ensure rapid resolution of any issues, and report material delays to the Senior Manager, Cash Management.
  • Respond to and resolve all related queries.
  • Comply with all relevant policies, procedures and internal controls.
Skills & Qualifications Ideal Skills
  • Prior working knowledge client onboarding or working knowledge of at least 1 of the main portals like Ariba, Coupa, Tungsten etc…
  • Solid problem-solving skills – able to work on their own initiative.
  • Strong attention to detail.
  • Excellent communication skills.
  • Organised, methodical and resilient.
  • Understands the important of data security.
  • Ability to perform in a time pressured environment to meet deadlines and flexibility to work across regional time zones
Desired Skills
  • Experience within a SaaS or software company.
