Job Summary

The Elite Job is seeking a highly organized and proactive part-time Executive Assistant to support the EU Consumables team. This role involves managing administrative tasks, coordinating schedules, and ensuring smooth operations within the department. The ideal candidate will have exceptional communication skills, a keen eye for detail, and the ability to handle multiple priorities with discretion and efficiency.

Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare and edit reports, presentations, and correspondence.
  • Act as a point of contact for internal and external stakeholders, maintaining professionalism and confidentiality.
  • Organize and maintain departmental files, records, and databases.
  • Assist in planning and coordinating team events, meetings, and offsite activities.
  • Monitor and manage project deadlines, ensuring timely completion of tasks.
  • Handle expense reporting and budget tracking for the team.
  • Provide general administrative support to the EU Consumables department as required.

Required Skills and Qualifications

  • Bachelors degree in Business Administration, Management, or a related field (preferred but not mandatory).
  • Proven experience as an Executive Assistant or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools (e.g., Zoom, Teams).
  • Strong written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to work independently and handle sensitive information with discretion.
  • Multitasking capabilities and attention to detail.

Experience

  • Minimum of 3 years of experience in an executive support or administrative role.
